Use TherapyNotes TherapyFuel AI to Streamline Documentation
For Mental Health Counselors ·
What This Does
TherapyNotes' TherapyFuel suite uses AI to help you draft progress notes, treatment plans, and client history summaries directly inside your existing TherapyNotes EHR — without switching to a separate app. It's HIPAA-compliant by design and integrates with your existing client records. If you're already a TherapyNotes user, this is the fastest path to AI-assisted documentation.
Before You Start
- You have an active TherapyNotes subscription (TherapyFuel is available on paid plans)
- You're logged into TherapyNotes and have client charts set up
- You have updated your informed consent forms to mention AI-assisted documentation
Steps
1. Check if TherapyFuel is available on your plan
- Log in to TherapyNotes (therapynotes.com)
- Click the help icon or go to your account settings
- Look for "TherapyFuel" or "AI Features" in your plan details
- If not enabled, contact TherapyNotes support to add it to your subscription
What you should see: TherapyFuel options available in your note and treatment plan creation workflow.
2. Update your informed consent for AI documentation
Before using AI for any client documentation:
- Go to your client forms and templates
- Add a disclosure to your informed consent form: "This practice uses HIPAA-compliant AI tools to assist with clinical documentation. All AI-generated content is reviewed and finalized by your licensed clinician."
- Re-obtain consent from existing clients — TherapyNotes can help you send updated forms through the client portal
3. Draft a progress note with AI assistance
After a therapy session:
- Open the client's chart in TherapyNotes
- Click "New Note" → select "Progress Note"
- Look for the TherapyFuel/AI assistant option — typically a sparkle icon or "AI Draft" button
- Select your note format: SOAP, DAP, or BIRP
- In the AI prompts section, type your brief clinical notes from the session (you can be brief — the AI will expand them):
- "Client discussed work stress and difficulty sleeping. Explored CBT techniques for cognitive restructuring. Client receptive. Plan: practice thought records before next session."
- Click "Generate Note"
What you should see: A full progress note draft in your selected format, expanded from your brief notes.
4. Review and edit the AI draft
Always review the AI-generated note carefully:
- Check that the clinical content accurately represents the session
- Verify that any interventions listed are ones you actually used
- Add your clinical assessment — AI can describe what happened, but your clinical judgment about progress and risk belongs to you
- Check the plan section for accuracy
- Delete anything that shouldn't be in the record
- Sign the note
What you should see: A complete, signed progress note in the client's chart.
5. Use AI for treatment plan drafting
TherapyFuel can also draft treatment plans:
- Go to a client's chart → "Treatment Plans" → "New Plan"
- Enter the diagnosis, presenting problems, and any goals you have in mind
- Click the AI assist option
- TherapyFuel generates goals, objectives, and interventions
- Review, edit for accuracy, and sign
What you should see: A treatment plan framework you can customize — significantly faster than writing from scratch.
Real Example
Scenario: You have a 1-hour break between sessions and 4 notes to write from the morning. With TherapyFuel:
- Open first client's chart — type 2-3 sentences of session notes from memory
- TherapyFuel generates a full SOAP note draft in under 30 seconds
- Review for 2–3 minutes, sign
- Repeat for remaining 3 clients
Total note-writing time: 15 minutes instead of 50–60 minutes.
The notes you provide don't have to be comprehensive — TherapyFuel is good at taking brief clinical shorthand ("explored grief, normalization, psychoeducation re: grief stages, plan homework") and expanding it into a complete clinical note.
Tips
- Use the AI for your standard mid-caseload notes; hand-write notes for complex sessions (crisis, trauma disclosures, significant clinical developments) where your voice and clinical judgment are most important
- Check TherapyNotes' documentation on TherapyFuel to understand which plan tiers include which features — pricing may vary
- Keep your brief session notes in a private space (your phone notes app, a voice memo) during sessions so you have fresh material for the AI draft
Tool interfaces change — if a button has moved, look for similar AI/documentation options in TherapyNotes' note creation workflow.
